Here are several tips on how to set up a professionally looking business e-mail for small business for free, without buying hosting services*.
1. Set up a separate e-mail account dedicated ONLY for work. Using the e-mail you use to write to your friends is not a good idea. Having an e-mail dedicated solely for business will make it easier to keep track of business correspondence and avoid confusion.
2. Choose an e-mail provider. It can be any of the global providers (Google, Yahoo) or some of your local providers. There are plenty to choose from. If you have good experience with your private e-mail provider you may want to use it also for business purposes (but remember to creating a separate account). Just make sure they are liable. You don’t want to risk losing your business correspondence!

Avoid choosing an e-mail provider who offers domains that might jeopardize the image of your business or simply look inappropriate (i.e. all that stands after the ”@”: @gmail.com, @yahoo.co.uk) Examples of inappropriate choice of domain: hankspropertymanagement@kiss.com; fireextinguishers@youandme.com

You might want to use your name if it is more recognizable than your company: like in case of personal trainers, management gurus, singers, models etc. If you want your e-mail to contain your name, again don’t use your private e-mail. Instead create a new e-mail account and use it only for work. So if your private e-mail is JohnGreen@1isp.co... your business mail can be: johngreenoffice@1isp.co... JohnGreen@[another provider]
5. Choose an account name which is relevant to your business and identifies your company instantly, for example marysbeautyparlour@..., Avoid too generic names Flowers1234@..., sports@...., and names that might look like a source of spam Mark6568885@....
6. When setting up your business account. Make sure to give appropriate information in the user’s profile. You don’t have to reveal all information requested by the e-mail provider, except for the required fields. Just remember that other people will be most likely able to see some basic information (like the name of the sender). So make sure that the info you provide does not contain anything inappropriate or confusing for your business contacts (for example if in the “Name” you choose to write: ‘Whatever’ and as “Surname” ‘245676787’).
7. You can also set up a signature. This will appear automatically in the end of all e-mails you send. You can insert your name, company name and contact details.
8. Before sending any ‘real’ e-mail from your new business account make sure it works properly. Test it by sending some test e-mails to your private account, ask a friend to send you a test e-mail etc.
9. To make most of your e-mail check for user guides from your e-mail provider and browse the settings when you have a while.
10. To be able to organize e-mails offline you can choose an e-mail client, for example Outlook, Outlook Express, Thunderbird (free), Windows Mail. You can also install on them spam blockers or other software to manage your work.
